Privacy Policy
Job Tracker is a free, open-source application by Vedija Pillay that runs on your own computer to track job applications. This policy explains what information the app handles, particularly if you choose to connect Gmail.
In short
- Job Tracker runs on your computer. There is no Job Tracker server, account or cloud service.
- The Gmail connection is optional, read-only, and used only to find job-application emails for you to review.
- Email content is processed on your computer. The developer never receives it.
- Your data is not sold, shared, used for advertising, or used to train AI models.
- You can disconnect Gmail and delete everything at any time.
Who is responsible
Job Tracker is an independent open-source project maintained by Vedija Pillay. Because the app runs on your own computer, the information it stores stays under your control. To ask a question, use GitHub Issues.
Information the app handles
Without Gmail
Only what you type in: for each job, the company, job title, status, source, applied date and optional notes. This is saved in a database file on your computer.
If you connect Gmail
You sign in on Google’s own sign-in page and approve one permission,
https://www.googleapis.com/auth/gmail.readonly (read-only access to Gmail). The app then:
- searches your inbox for recent messages (up to the last 180 days, a limited number per scan) that contain job-related words such as “application”, “interview” or “offer”;
- reads, for each message it checks, the sender, subject, date and message text (it uses roughly the first 1,000 characters of the text);
- decides on your computer whether the message looks like an application confirmation, interview invitation, offer, rejection or withdrawal, and shows you the result.
The app cannot send, modify or delete any email.
What is stored on your computer
| Information | Why |
|---|---|
| The jobs you add, and for a job created from an email: that email’s subject, date and Gmail message ID | Shows your tracker, and prevents the same email being suggested again while its job exists |
| For emails you dismiss: the message ID, sender and subject | So a dismissed email is not shown again |
| Message IDs (only) of emails judged not job-related | Makes later scans faster |
| A Google sign-in token (a “refresh token”) | Lets the app scan again without asking you to sign in each time |
| If you entered them in the app: your Google OAuth client ID and secret | Needed to sign in to Google |
The text of your emails is not saved. It is read in memory during a scan and discarded.
Everything above lives in one database file (jobs.db) in the app’s folder on your computer.
How the information is used
Only to provide the features you can see: finding job-related emails, suggesting tracker entries for you to review, and keeping your tracker up to date. Job Tracker does not use your Google data for advertising, profiling, or to develop, improve or train artificial intelligence or machine learning models.
Sharing and third parties
Job Tracker does not send your information to the developer or to any third party, and it contains no analytics, tracking or advertising. The only service the app talks to is Google, to sign you in and read your Gmail, which is governed by Google’s Privacy Policy. No person at Job Tracker can read your email, because the app runs on your computer and the developer has no access to it.
Google API Services User Data Policy
Job Tracker’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Keeping, deleting and revoking access
- Delete jobs: remove one job or many in the app.
- Disconnect Gmail: click Disconnect Gmail in the app. This deletes the saved Google sign-in from your computer.
- Revoke Google access: remove Job Tracker at any time from your Google Account permissions.
- Delete everything: delete the
jobs.dbfile (or the whole app folder) from your computer.
Security
The app only accepts connections from your own computer and rejects requests from other websites and other devices. Please note that the saved Google sign-in token is stored as plain text inside the database file on your computer, so protect that file the way you protect your other personal files (for example with a device password and disk encryption) and do not share it.
Children
Job Tracker is not directed to children under 13 and does not knowingly collect information from them.
Changes to this policy
If Job Tracker changes in a way that affects how information is handled, this page will be updated before the change is released, and the date at the top will change. Earlier versions are available in the history of this site’s files on GitHub.
